7. 58, 59. Test and publish a chatbot for Microsoft Teams

So in this video, we’re going to have a look at testing and publishing our bot. So we can click on test bot. And we get this pane over here so you can see it, hides it, or shows it. So I’m going to start with one of my trigger phrases. So I’m just going to say, where can I find documentation? And here you go. Welcome to the documentation section. Which year do you want the documentation for? So if I say 2020, then the computer says it can be found here and it is highlighting the Microsoft website. Let’s answer your question. So this is the end of conversation survey. So if yes, great.

Please wait for experience or five stars. Can I help with anything else? Yes, please. That gets me back right to the beginning. So I will just say documentation. I want the 2021 documentation. It can be found here. And this here is Google. So no, that didn’t answer my question. So I want to try rephrasing. I don’t want to talk to a human agent. So start right at the beginning. I want 2022. So this has not been released. It has answered my question. And I’ll do this one more time. And this is when this is very useful. Track between topics.

And now you can see it goes to my other topic. So there we are. It’s now tested and we are going into an end survey. So that’s how you test it. Now let’s have a look at how we can publish our chatbot. And all it is is going to the left hand side and going publish. So I’m going to hide that test bot. So if you’re using Premium Connectors, you need to upgrade your license to publish your bot. Not the case in this case. And I’ll click on publish. So now what I can do is share the bot.

I can also just start chatting and that just looks like this. So if I click on Add, there is my chat and I can keep going as much as I want. Now let’s go back to Power Virtual Agents for teams by clicking on the dot and going to power virtual agents. Once I’ve done that, if I want to go back to documentation, there it is, my chatbot. So I’m going to go back to editing my chat bot. So I’ll just click on that and go back to publish. And in addition to opening the bot, I can share the bot so I can share this with my team. So choose this option for bots, both just for you and your team to use. So click Add to Team and it automatically gets added. So it is now available in the Boat by Your Colleagues section on Team.

So if I close this down, if I want to share this more widely within my organization rather than just my team, then and share the bot, I have got the option to submit it for admin approval. And if approved, your bot will appear not in the boot by your team, but boot by your section in Teams. Now, if you do this, bear in mind it’s also been shared with my team so they’ll see two versions of it. So you might want to remove it. So I will submit for admin approval and you can see make sure it’s ready for release in compliance with all of your policies. And it also says remove the bot from boot by your colleagues. Section for Teams It will show up in two different places.

Submit for Admin Approval here you can now change the icon. You can change a short and long description. You can click on more and change the developer name, website, privacy statement and Terms of use. And then I will now submit it for admin approval. So this requires you to give everyone access to the bot. Are you sure you want to do this? Yes. So now the bot has been sent to my admin. You can see Processing request and it is now waiting for approval. So here I’m in the Microsoft Teams Admin Center, which is Admin Teams Microsoft. com. I’m logged in as an admin and I’ll go to Teams Apps on the left hand side and then manage apps.

And you can see pending approval, there is a one submitted custom app. So let’s have a look at which one it is. And it is this one, the documentation. And you can see publishing status submitted current Status block. I can click on it and I can change its publishing status. So I’m going to say published. So I have reviewed the app and now I want to approve and publish it. Yes. So I’m going to say publish. And now documentation has been published. It may take a few hours before the status is updated.

So if I scroll down to documentation, then you can see it is now published and status allowed. And you can also see it’s a custom app. So if you want to see all of the custom apps, you could just sort by custom app. So when it is approved, it will be going into the app section. And if I click on boot for your there you can see applications that were boot by my colleagues. In other words, things I’ve got access to.

We’ll also see anything that’s not just boot for my team, but a wider section. So in this video we’ve had a look at how to test and publish a chatbot. So what we can do is we can test a particular chat bot by going to that chatbot, clicking Open Chatbot here, or going to the Edit section and clicking on the test bot over here.

If you’re editing something and if you’re not, you can just test it in here. We also saw has a look at how we can publish it. And we can publish it by going to Publish on the left hand side and clicking Publish. And then we can share the bot either in your individual team or among your wider organization if it has been approved by your admins.

8. 55. Create and monitor approvals from Microsoft Teams

Now in this video, what we’re going to do is look at approvals in Microsoft teams. So I’ve got two different users here, so I’ve got Power Platform Plan and I’ve got somebody else, me. So I’m going to just start a chat. So and you’ll see why this is important in a few minutes. So, hello and there is my new chat and hi back. And you? So far so good. What I’m going to do now is install a new thing called approvals. So this is a new app. So I’m going to make a request. It’s a new approval request right at the top.

And I’m going to have a basic one rather than one that I have to do an electronic signature. So I will ask for my leave and my approvers again are going to be me. There we go. And you can see, if I put in multiple people, then I have the option to require response from all approvers, or just require response from a single approver. So can I go home early? And you can have custom responses such as yes, why not? Oh no, you haven’t finished. But you can see also there’s a character limit of 20 words, 20 characters. So let’s click on send.

So my approval request has been generated. So there it is. I had to send it a second time, it seemed to be delayed, but not 4 seconds. I got to do an approval in 4 seconds. Something went wrong there, so I can click on it to have a look to what I had previously entered. So my leave, can I go home earlier now? And I can follow this up or I can cancel this request, so I’ll just leave it as this and I’ll go to my other person who has now received an approval. So my first person has sent one, my second person has received one.

So let’s have a look at it and yes, why not? No, you haven’t finished, so enjoy and say yes, why not? Submitting response. So the status has now changed and if I go back into this person and just change something there, you can see my status has now been updated to yes, why not? Now let’s go back to my chat. So all I’ve done so far is say hello and hi back at you.

But what I can also do if I go down to the bottom of the screen is go to approvals. So I can do this in the middle of the chat. Now, this can only be sent to people in the chat. So at the moment there’s only one person in the chat, that’s the only person I can send it to. So more time off. So put in Microsoft my other person, can I have more time off please? So I’ll use the standard responses. So I haven’t used approvals in this conversation before. So I agree to the privacy policy in terms of conditions and you can review those. So click continue. And here we can see my request and after a few seconds, these buttons come up as well. Approve, reject, few details.

So if I view the details, I get exactly the same sort of things as I’ve had before. So I can approve or reject there. So I’m going to approve and you can see that I’m doing this in the same screen as a chat, so I don’t have to go to the approvals app. I can do this by just being in a chat with somebody or multiple people and clicking on the approvals down at the bottom. So approvals in Microsoft teams, you can do this as part of a chat, but only with people you’re chatting to. Or you can go to the approvals app and here you can see, you can monitor all of your requests.

9. Practice Activity Number 16 – The Solution

So let’s see if you know where everything is. So I want to embed a modeldriven app into Microsoft Teams. So I go into Teams, I select a particular channel, I click on the plus. I say I want Power Apps so you can see what it said. I need to select something to turn your favorite apps and files into tabs at the top of the channel. And I want to go to a model driven app.

So I’ll click on Model driven Apps and scroll all the way to the bottom. We have the user and device model and notice it says make sure your team can actually use this app and you might need to share access. So let’s click Share and it gets inserted. So while it’s doing that, let’s go and add the Canvas app into Microsoft Teams as a personal app. So I start from the Power apps portal and I go to apps and let’s select canvas apps. So there’s my user Canvas app and I’ll just click on the dot dot next to it and add two Microsoft Teams.

So it then says, do you want to have a description so you can edit details if you so wish. So to do that I would go into App and there is my description. And then once I’m happy with everything, then I can either go into advanced settings where I can put in name, website terms of use and privacy policy and so forth. And I can click Add to teams.

And now you can see the computer is adding it to Microsoft Teams. So I’ll open Microsoft Teams here and you can see here it is an app built using Power Apps. So I’ll click on Add and here is my Canvas app imported into, embedded into Microsoft Teams.
